Information Technology Project Management Chapter 3 Question 5

  1. What are some of the typical challenges project teams face during each of five process groups?

The primary challenge of project management is to achieve all of the project goals and objectives while honoring the project constraints. Typical constraints are scope, time and budget.
In the Initiating process unrealistic deadlines pose a huge challenge. Of course, there are absolute deadlines for projects such as regulatory compliance or marketing events, but many dates are tied to factors unrelated to a project’s scope (i.e., end of quarter, budget cycle, boss’s vacation).
In the planning stage change is inevitable. What does not have to be inevitable is uncontrolled change, also known as scope creep. Project managers should analyze each request and then communicate the impact of each change and the alternatives, if any exist. Educating your stakeholders on how change, affects the schedule, cost, scope, and quality of the project could possibly help in minimizing this problem.
During the Execution process customers and end users need to be engaged during the project. Project teams sometimes become so focused on internal deliverables, deadlines, and processes that customers and end users are not given input during critical phases. Planning status meetings that will be attended by customers and end users keeps them informed. Using these meetings as forums for information gathering by simply taking surveys among other things will help ensure that the final product will be successful.
The monitoring and control process which is activated on project inception and lives throughout the life of the project, can be affected by any one of the adversities that affect all of the other processes.

Ineffective communication –with no shortage of information flow, the problem is that we do not provide the right information to the right people. Don't forget the stakeholders formal acceptance is needed from them before the project can be closed. Time constraints due to deadlines or insufficient team skills could negatively affect the closing of the project.
